Settings and users
Forecasting and planning settings
Section titled “Forecasting and planning settings”These are on Yönetim → Ayarlar (Administration → Settings) and can be changed only by an administrator. Changes take effect on the next forecast run.
| Setting | Description |
|---|---|
| Forecast period | Monthly or weekly. |
| Forecast horizon | How many periods ahead are forecast. The optimal order plan is cut off at the end of the horizon, so it should not be shorter than the longest lead time + maximum cover; if it is, the Dashboard and the order breakdown show a warning. |
| Default service level | Used when none is set on the product or warehouse. |
| Target cover (days) | How many days of demand one order should cover. |
| Ordering cost | If 0, the order quantity is based on target cover days; otherwise on the optimal order plan (Wagner–Whitin). If you know your cost of placing an order (staff, freight, receiving), entering it is recommended. |
| Maximum cover (days) | The most days of demand the optimal plan may hold above safety stock. If the product’s shelf life is shorter, the shelf life applies. |
| Inter-warehouse transfer time (days) | How many days a transfer takes. Used for the stockout calculation of the transfer option and for how long an approved transfer stays valid (transfer time + 1 day). |
| Fixed cost per transfer, transfer unit cost | Transfer cost = fixed + unit × quantity (in the base currency). A transfer suggestion is compared with the purchase by total cost including this cost; if both are 0, using the source surplus is the default. |
| Unmet demand | Lost sales (retail; default) or backorder (distribution). With lost sales the order is not enlarged for demand that is lost during the lead time anyway. Can be overridden per product on the product card. Administrators can also choose it from the setup card on the Dashboard. |
| Add pending purchase orders to On order | Off by default. When on, On order in order suggestions = the on-order quantity in the stock file or ERP + the pending quantity on the Purchase Orders page (ordered from the supplier but not yet received). Quantities closed as short deliveries are not counted. Do not turn it on if the on-order value in your stock records already includes these orders: the same goods would be counted twice and too little would be ordered. |
| Capital, storage, insurance, obsolescence rates | Their sum is the annual holding rate. |
| Low accuracy threshold | An alert is raised when forecast error is above it. |
| Single-customer and few-customers thresholds | The boundaries of the customer concentration classes. |
| Classify ABC/XYZ per warehouse | When off, warehouse rows carry the company-wide class. |
Users and roles
Section titled “Users and roles”A user can be added in two ways:
- Directly: add them to the table and set their password yourself.
- Invite by email: the person receives a single-use link and sets their own password. The link is valid for 7 days. Pending invitations are listed below the table, where you can resend or cancel them. If email is not configured on your installation, the link is shown on screen and you need to pass it on yourself.
An administrator adds users and assigns roles in the users section.
| Role | Can do |
|---|---|
| Administrator | Everything: settings, users, integrations, warehouses |
| Planner | Data entry, imports, running forecasts, transfers |
| Viewer | View only |
Users are not deleted; they are made inactive.
Passwords
Section titled “Passwords”| Situation | What to do |
|---|---|
| You want to change your password | Use Change my password in the user menu at the top right. Enter your current password and the new one (at least 8 characters); you are signed out on your other devices |
| You forgot your password | On the sign-in page choose Forgot password? and enter your email address. Set a new password with the link you receive; the link is valid for 60 minutes and can be used only once |
| Email is not configured on the installation | “Forgot password?” refers the user to the company’s administrator. The administrator edits the user in the Users table and types a new password in the Password field |
| The company’s only administrator forgot their password | In the cloud: use “Forgot password?”; if the mailbox is not accessible, contact VidiStock support and a reset link will be sent to your account’s email. On your own server: reset the password on the server |
When a password is changed or reset, all of the user’s open sessions end.
Currencies and rates
Section titled “Currencies and rates”Base currency
Section titled “Base currency”The currency in which amounts are totalled and displayed; Turkish lira by default. When it is changed, analysis screens switch immediately and order suggestions at the next forecast run.
Currencies
Section titled “Currencies”| Field | Meaning |
|---|---|
| No. | The currency type number in your ERP. ERP synchronisation and import files match the currency by this number. Turkish lira is always 0 |
| Other ERP numbers | If your ERP also uses other numbers for the same currency, those numbers separated by commas (for example 6 for Turkish lira if that is its number in the Netsis currency definitions). Numbers are unique across all currencies |
| Code | Three-letter code (USD, EUR …). Cannot be changed once saved |
| Active | An inactive currency cannot be selected on new records |
Initially 0 TRY, 1 USD, 2 EUR and 3 GBP are defined. Change the numbers to match those in your ERP (except TRY). A currency in use cannot be deleted; deactivate it instead.
Exchange rates
Section titled “Exchange rates”Rates are fetched automatically every day from the forex selling rate of the Central Bank of the Republic of Türkiye. On weekends and holidays the last published rate applies.
If you enter a rate manually for a day, yours is used instead of the Central Bank rate for that day. If you delete the manual rate, the Central Bank rate applies again. If you add a currency the Central Bank does not publish, you must enter its rate manually.
A rate change is reflected on analysis screens immediately. Order suggestions are calculated with the rate on the day of the forecast run and do not change until the next run.
FX risk threshold
Section titled “FX risk threshold”For a product bought in one currency and sold in another, an alert is produced if the break-even rate is closer to today’s rate than this ratio (10% by default). See FX risk.
Product attributes
Section titled “Product attributes”The table where your company’s own product information is defined. At most 30 attributes can be defined.
| Field | Meaning |
|---|---|
| Name | The name shown on screens (e.g. “Compatible vehicle make”) |
| Key | A short name derived from the name (e.g. uyumlu_arac_markasi). Cannot change once saved |
| Multi-value | If on, values are separated by commas and each one is a separate tag |
| ERP field | The name of the column in the ERP stock card table (e.g. KOD_1 in Netsis). If empty, the attribute is not fed from the ERP |
| Order | The order of columns and options |
| Active | An inactive attribute is not shown on screens; its values are not deleted |
When an attribute is deleted, all its values on products are deleted too. A multi-value attribute cannot be made single-valued while some products have more than one value.
