Order suggestions
The Planlama → Sipariş Önerileri (Planning → Order suggestions) page lists the products that need ordering according to the latest forecast run.
The list
Section titled “The list”- Scope: one row per warehouse, a single warehouse, or the consolidated view.
- Untick the “only products that need ordering” box to see the plan for every product.
- You can filter from the column headers, search, and export the list to Excel.
The calculation
Section titled “The calculation”- Lead time demand (LTD) = forecast demand from today to the end of the lead time. The daily rates of the forecast periods (period forecast ÷ days in the period) are summed; if the lead time exceeds the forecast horizon, the last period’s rate continues. Daily demand = LTD ÷ lead time.
- Safety stock = z × √(L × σd² + d² × σL²). σd is the daily forecast error (the per-period backtest error ÷ √average days per period), σL the lead time deviation, z the service level’s value (95% → 1.6449).
- Reorder point = 1 + 2.
- Order quantity: if an ordering cost is set, the optimal plan (Wagner–Whitin) is used: from the delivery day to the end of the forecast horizon, the order schedule with the lowest total cost is found from the weekly forecast, ordering cost and holding cost; the suggested order is the schedule’s first order. Minimum order and lot multiple are part of the model (no rounding afterwards); stock never falls below safety stock and never holds more than the maximum cover (Settings, default 90 days) or the product’s shelf life worth of demand above it. Without an ordering cost, without a forecast, or if the forecast horizon is shorter than the lead time, the cover rule is used: the period forecast total for the target cover days (for example 30) after the order is received. EOQ is shown for comparison only.
- Target stock = reorder point + cycle quantity.
- Stock position = on hand + on order (placed with the supplier, not yet received). An approved transfer is added to on-order stock at the destination and deducted from on-hand stock at the source (Stock transfers).
- An order is needed when daily demand is above zero and the stock position is at or below the reorder point. Net requirement = target stock − effective position.
- Order quantity: the net requirement raised to the minimum order quantity and rounded up to the lot multiple (or a whole number if there is none).
- Campaign: if a campaign is planned, daily demand on campaign days is raised by the rate entered; the part within the lead time raises LTD and the reorder point, the part after it raises the order quantity (Campaigns).
- Transfer: if another warehouse has surplus stock, the transfer is compared with purchasing by total cost; the selected transfer is deducted from the purchase and Suggested purchase becomes the remainder (Stock transfers).
Unmet demand
Section titled “Unmet demand”What happens to demand when stock runs out changes the order quantity. It is chosen for the company in Settings and can be overridden per product on the product card:
| Rule | Meaning | Effect on the calculation |
|---|---|---|
| Lost sales (default, retail) | The customer buys elsewhere | Stock on the delivery day does not go below 0: effective position = max(stock position, lead time demand). The order is not enlarged for demand that is lost during the lead time anyway |
| Backorder (distribution) | The customer waits and is supplied when goods arrive | Effective position = stock position; the order also covers the waiting demand |
Until the setting is saved, administrators see a setup card on the Dashboard (Retail / Distribution / Mixed) and the detail window notes “Default used: lost sales (not set)”.
Example
Section titled “Example”Daily demand 10, lead time 14 days (deviation 3), monthly forecast error 60, service level 95%, on hand 150, ordering cost 500, unit cost 40, holding rate 25%, minimum order 100, lot 50:
| Step | Value |
|---|---|
| Lead time demand | 10 × 14 = 140 |
| Safety stock | 1.6449 × 50.56 = 83.2 |
| Reorder point | 223.2 |
| Economic order quantity | √(2 × 3,650 × 500 ÷ 10) = 604.2 |
| Target stock | 827.4 |
| Stock position | 150 (≤ 223.2: order needed) |
| Net requirement | 677.4 |
| Order | rounded up to a multiple of 50: 700 |
The example shows the classic EOQ calculation with constant demand. In the application, when an ordering cost is set, the quantity comes from the optimal plan (Wagner–Whitin); with constant demand the result is usually close to EOQ, and with seasonal demand it differs clearly.
Formula details: Methods and accuracy.
ERP status
Section titled “ERP status”The ERP durumu (ERP status) column shows whether the suggestion became an order in the ERP. Transfer badges: Transfer bekleniyor (Transfer expected; the transfer suggestion was deducted from the purchase, quantity in the Bekleyen transfer column), Transfer onaylı (yolda) (Transfer approved, in transit; the approved transfer counts as on-order stock), Transfer önerisi (Transfer suggestion; there is a suggestion but it was not deducted from the purchase, do not do both). Order statuses: Pending, Applied (at least 90% of the suggestion was ordered), Partial or Not applied (no order was opened before the next run). The matching ERP order numbers and quantities appear next to it, and the latest run’s compliance rate is shown above the list. Matching is by product and warehouse; by product only if the ERP order has no warehouse. Calculation details and past runs: Suggestion compliance.
Orders are not placed or entered manually in VidiStock; they are placed in the ERP and read through the ERP connection or the purchase orders file in Import.
Alerts
Section titled “Alerts”- Stock-out risk: the stock position is below the lead time demand; stock may run out before the goods arrive even if ordered today.
- Overstock: no order is needed and the stock on hand lasts longer than (lead time + target cover days) × 3 days.
The detail window
Section titled “The detail window”The Detay link on each row shows these steps with the product’s own numbers: the method used and its error, the safety stock formula, the optimal plan, EOQ and cover rule side by side with their cost over the horizon, the weekly order schedule, the ordering cost used and its source, the order value, the holding cost until the next order and the customer breakdown.
-
Top card: the recommended action (“Transfer 1,348 units · no purchase needed”, “Transfer 17 + purchase 15” or “Purchase 1,540 units”), how many days the stock on hand lasts, the stock position and the days until the next order. This is the single definition of cover: from delivery to the next order (in the optimal plan, the next order in the schedule; with the cover rule, the target cover days). The schedule and the holding cost use the same value.
-
Lost sales adjustment: with lost sales it is shown in the calculation steps before the net requirement, so the steps add up.
-
Urgency: if the stock on hand runs out before the lead time ends, the window shows how many days you will be out of stock and the estimated lost sales (waiting demand with backorder); open orders with a known due date are included.
-
Campaign: if a campaign falls in the horizon, its dates, rate, extra demand within the lead time and target cover, and days until the start. If the campaign starts before the lead time ends, it says an order placed today will not arrive in time.
-
Transfer option: if another warehouse has surplus stock of the same product, purchase only, full transfer and partial transfer (the critical need only, the rest purchased) are shown side by side: purchase quantity, stockout, lost sales, transfer cost, total cost and the source warehouse’s position after the transfer. The row selected by the engine is highlighted as “recommended”. If stock does not run out before the transfer arrives but the margin is under 1 day, a yellow risk: low margin appears instead of “none”: if the transfer is late, stock runs out.
-
Service level sensitivity: drag the service level to see how safety stock, order quantity and value change. This is an analysis only; permanent changes are made on the product card.
Settings that affect suggestions
Section titled “Settings that affect suggestions”Lead time and its variation, minimum order, lot multiple, service level, shelf life and the unmet demand override are on the product card; target cover days, ordering cost, maximum cover, forecast horizon, unmet demand and transfer time/cost are on the Settings page.
The On order column is the on-order quantity from the stock file or the ERP. If “Add pending purchase orders to On order” is on in Settings, purchase orders not yet delivered by the supplier are added too (pending orders); do not turn the setting on if the stock record already includes these orders.
